Your role as a Convenor is to contribute to the successful operation of the House League. You report to the Head Convenor (Vice-President, House League), who sits on the Board of Directors. Working with the coaches in your division, you’re responsible to your players, coaches and parents for the activities of your division.
MAINTAINING THE QUALITY OF PLAY
- Champion the LHA’s key principles:
- Equal ice time for all players
- Balanced teams
- A spirit of fun and recreation in all activities
- Proper conduct of players, re-enforced by the LHA’s Discipline Policy
- Mutual responsibility - that is, the principle that players, coaches, officials and parents are all mutually responsible to each other for the success of our House League
- Monitor the conduct and attitude of players, coaches and parents in your division. Support the referees.
- Work collectively with your coaches to manage your division. Decide on division rules (shifts, offsides, etc.) and advise the Head Convenor.
- If a coach has a problem with a player or parent, they should refer it to you. You should deal with it so the coach can focus on the team.
- If you have a concern about a player, coach or parent, discuss it with the coach or Head Convenor, and keep the Head Convenor advised.
- If there is a dispute beyond the authority of the referees, you are the judge.
- Refer any infractions of the LHA’s Discipline Policy to the Head Convenor and the Chair of the Discipline Committee immediately.
- Pass any useful comments or suggestions from coaches or parents to the Head Convenor.
- You are not expected to attend all games.
- REGISTRATION AND BEGINNING OF SEASON
- During registration sessions, staff table for your division, register players, hand out material and answer any questions.
- When the number of teams and players is decided, advise new applicants if they’re accepted or not.
- Submit final registration list, and check print-out when returned from the Registrar.
- Select one Head Coach and at least one Assistant Coach per team, and brief them on their responsibilities.
- Supervise Skills Session, with Select coaches providing instruction.
- Select teams using an equitable method.
- Supervise the first games, and obtain team rosters including jersey numbers from coaches.
- Determine the appropriate late application policy for your division.
- TEAM STANDINGS AND PLAYER STATISTICS
- Weekly team records are maintained and posted by the Head Convenor, based on the game sheets.
- You and your coaches should decide if you want to maintain individual player statistics for your division. If you do, arrange with the Head Convenor to obtain sheets.
- Before the team balancing date, work with coaches to determine how balancing will be achieved.
- The week before the team balancing date, help the coaches advise those players and parents who will be shifted to other teams. No player may refuse to be shifted.
- You are the final authority on the proper balancing of teams.
- PHOTOGRAPHS AND SPONSOR PLAQUES
- Ensure finished photos are distributed to players by their coaches.
- Ensure that coaches present sponsors’ plaques to their sponsors in person.
- Full refund if not accepted for membership at time of registration.
- Full refund less $75 administration fees if resigns prior to October 17
- No refund if resigns after October 17, 2006
- Inform the Head Convenor, and contact the Treasurer to arrange for a refund.
- The heart of your job is to maintain good communications up and down the line:
- Ensure coaches, players and parents know about schedules and activities.
- Deal with parents’ or coaches’ concerns.
- Represent the views of your division’s parents and coaches to the LHA.
- Developing a good spirit within your division, making parents and coaches feel welcome and appreciated.
